Privacy policy

By signing up for the Dutch Tournament for Dancing Students, hereafter NTDS, as a participant, team captain, jury member or volunteer, you agree to the terms written in this privacy statement.

WHO ARE WE?

We are the organisation of the Dutch Tournament for Dancing Students (NTDS). The NTDS is a ballroom dancing tournament that takes place once per year. Participation can take place as a part of a team. These teams are delivered by several student ballroom dancing associations in the Netherlands in the name of their city of origin. Every NTDS is organized by a different committee from one of the participating cities or a combination of a few cooperating cities. The NTDS of March 2024 is organized by the committee of team Leiden, Delft and Rotterdam.

WHAT PERSONAL DATA DO WE GATHER?

We gather the following information from every participant:
- Name
- Email address
- Age
- Allergies and dietary wishes
- Whether or not you are a student
- Information surrounding participation in the tournament and sleeping arrangements

WHO HAS ACCESS TO YOUR PERSONAL DATA?

The data will not be shared with third parties. The following people have access to your personal data:
- The organisation of the NTDS: access to your personal data will be given to a select number of people that need it in order to organize the tournament.
- Your team captain your own team captain has access to all personal data you share, as they are the one to register you for the tournament.

WHERE ARE MY PERSONAL DATA SAVED?

Data from the registration system will be saved on the servers of hosting provider TransIP BV in the Netherlands. The hosting provider has no access to your data. Data will also be saved in a private Google Drive folder from the organisation. The volunteer system will be hosted on a server in the Netherlands. This hosting provider also has no access to your data.

EDITING MY DATA

You can ask your team captain to edit incorrect data.

FOR HOW LONG WILL MY DATA BE SAVED?

Your data will be saved at least until the end of the tournament. After that, your name and results will be shared on the website jury.ntds.dance. Your name can be removed if requested. After the tournament has taken place and before the start of the next tournament, the rest of your data may be used anonymously for statistical analysis, or may be deleted.

CAN ALL MY DATA BE DELETED?

Organizers may decide to offer participants that enter for the first time, an increased chance of being selected, or other advantages. If you entered the tournament before, your name, the fact that you previously participated and your results cannot be disconnected from your profile. All other data will be removed, as mentioned above.

ONLINE PUBLISHED CONTENT

When the tournament has ended, names and results of participants will be published on the website with domain jury.ntds.dance. Your email address will be kept confidential. Photos that are made during the tournament by the specially appointed photographers by the organisation, may be published online and spread via social media. Photos can be deleted if requested. Photos made by participations, can only be recovered from them. The board is not responsible for this.
